Vender Registration

The Chester County BBQ Festival continues to be an annual tradition since 1978. The festival is held each year on the last Friday and Saturday of September. It features BBQ, live entertainment, fried treats, children’s activities, and vendors. The festival is the Henderson/Chester County Chamber of Commerce’s largest fundraising event and is made possible by a volunteer committee. There is no admission fee. All events center around the Chester County Courthouse lawn in downtown Henderson.

    Festival Requirements/Policies/Information

    Absolutely NO REFUNDS will be given after September 6, 2024! No rain/weather refunds will be given before, during or after the festival.

    A certificate of insurance showing general liability limits at $1 million per occurrence and $2 million aggregate is required for every vendor and must be attached to application.

    Once you submit your vendor application, the BBQ Festival committee will review your application, if you are accepted into the festival, you will receive a link to pay your fee. Your vendor fee will be due by September 6, 2024. If you do not pay by this date, your spot will be given to a vendor on the waiting list.

    All Vendors must provide a detailed description of your booth items on the form provided at the time of application. The BBQ Committee for acceptance into the festival will review your list, along with your application. If you sell/give away anything at the festival that is not on your application list, you will be asked to leave the festival immediately with no refund.

    Booth size is 10’x10’. Vendors provide their own pop-up tent /canopy, and it can be no larger than 10’x10’. In the interest of safety, vendors must keep their tent stakes and any wires covered. If you are a vendor setting up on Main Street, you will need weights to secure your tent. You cannot use stakes on the street.

    Vendors are responsible for the safety and security of their own property and equipment at all times. There will be limited security assigned to the entire event site. No security personnel will be assigned specifically to any vending area. The Henderson|Chester County Chamber of Commerce, the City of Henderson, and Chester County will not be held responsible for any lost and/or stolen items.

    Festival hours will be 10:00a.m. -10:00p.m. on Friday and 9:00a.m.-9:00p.m. on Saturday.

    Vendors must be cleaned up and off the street by 10:00p.m. on Saturday, Sept. 23.

    Vendors are responsible for their own set-up, tear down, trash and debris removal.

    Extension cords are not provided.

    Vendors may not sublet or share booth space.

    Vendors may not sell or give away any silly string, fake cigarettes, snap pops, fireworks, glow sticks, noise makers of any kind, horns, whistles, gum, stink bombs, colored hair spray, lasers, anything that has a real or fake blade, knives, guns, and toy guns of any type including water and marshmallow/potato guns.

    The BBQ Festival committee has the right to reject any application and /or booth items to be sold or given away.

    If you fail to follow the policies and procedures of the festival, you will be asked to leave the festival immediately with no refund.

    *This form is for any vendor who will be prepping or cooking any foods and/or beverages on site.

    *Pulled Prok, BBQ Chicken, BBQ Ribs and Brisket are NOT allowed to be served by ant vendors.

    Terms and Conditions

    Food vendors must provide the BBQ Festival Committee with a copy of their mobile food license within two (2)
    business days from the date of this contract. Vendors are expected to follow all rules and regulations as
    set-forth by City, County, and State. There will be an additional fee set by the Health Department and collected
    by them on site.

    Food vendors shall not sell, distribute, or in any way disseminate alcoholic beverages.

    Pulled Pork, BBQ Chicken, BBQ Ribs, and Brisket are NOT allowed to be served by any vendors.

    Food vendors must be fully staffed and open between the hours of 10:00 a.m. and 10:00 p.m. on Friday, September
    27, 2024, and between the hours of 9:00 a.m. and 9:00 p.m. on Saturday, September 28, 2024, regardless of
    weather conditions. Opening later than 10:00am/9:00am and closing earlier than 10:00pm/9:00pm, may preclude
    vendors from participating in future events. Vendors understand that the event will be held rain or shine, and
    no refunds shall be given.

    Food vendors must be self-contained. No drips, leaks or any type of debris may run into the street or city
    drains. No dumping into the city drains or onto the streets allowed.

    Food vendors shall be responsible to adequately anchor all equipment to withstand the elements of weather.
    Vendors are responsible to bring their own anchoring devices (weights and/or water barrels).

    Food vendors are responsible for leaving designated space as found. Failure to do so will result in, at the sole
    discretion of the City of Henderson, charges to repair or correct any damage or alteration. Vendor is
    responsible for returning the booth space site to its original physical condition by 11:00 p.m. Saturday,
    September 28, 2024.
